Building trusting, respectful relationships with our customers underlies everything we do at Tracks & Trails. But, at this point the details do become important. So, we offer you these terms and conditions in as clear and concise a fashion as we can. By paying the trip deposit, you indicate your acceptance of these terms. What it includes: The services of a Tracks & Trails Trip Consultant to assist in choosing a suitable itinerary, a personalized Trip Quote that lists all prepaid components of your trip, confirmed reservations for all proposed trip components, an Adventure Kit travel portfolio containing all trip-related documentation, and an America the Beautiful Annual Pass.
What it does not include: Airfare, fuel, park entrance fees, and personal items including but not limited to laundry, groceries, meals, drinks, telephone and fax charges, visa and passport fees, vaccinations, gratuities, and foreign and domestic departure taxes.
Special Traveler considerations: It is the responsibility of the traveler to notify Tracks & Trails at the time of booking of any special disabilities, medical conditions or other considerations of the members of the traveling party. Tracks & Trails will make reasonable efforts to accommodate the special needs of disabled travelers, but is not responsible for any denial of services by carriers, hotels, lodges, restaurants or other independent contractors.
Reservations should be made at least 60 days in advance. As lead-time shortens, availability of specific RVs, campgrounds, or excursions becomes uncertain.
Prices quoted are in US dollars. Tracks & Trails reserves the right to amend the Price after a trip is booked under the following unusual circumstances: a) Trips outside the US if there is a significant change in the foreign currency exchange rate, b) The cost of a trip component supplied by a third party (vehicle rental, accommodation, or excursion) increases substantially between the time you accept the Quote and we reserve the service. In the latter case, we will always try to find a substitute at the same price, but occasionally the quoted rate is no longer available. In this event, we will issue an amended quote. If you do not wish to accept the new price, you may cancel your trip and receive a full refund of any monies previously paid.
$500 Deposit — Due upon booking to reserve travel dates and initiate reservations for hotel, RV, campsites, activities. Pay by credit card (Visa, Master, Discover). Forfeited if trip is canceled.
Payment 1 — 50% of trip balance due Oct 1 or one week after deposit, whichever comes first. Non-refundable but applies as credit towards future travel if you cancel your trip at least 62 days before travel. Pay by Zelle, check, e-check, or wire.
Payment 2 — Remaining trip balance due 60 days before travel. Cancellations within 62 days of travel result in all payments being forfeited: no credits, no refunds. Pay by Zelle, ACH, or check. (Please consider purchasing trip cancellation insurance.)
Any changes made after you have approved your quote may incur change fees. We will provide an estimate of these fees based on the complexity of the changes. Special requests may incur fees outside of the normal trip cost.
If for any reason you need to cancel your Tracks & Trails vacation, fees are as follows:
More than 60 days prior to your departure date, the cancellation fee will be 50% of the price of your trip.
60 days or less prior to your departure date, the cancellation fee will be 100% of the price of your trip.
CANCELLATIONS MUST BE RECEIVED AT OUR OFFICE IN WRITING – by mail or email.
No refunds or other compensation will be offered in the event that inclement weather, fire or smoke conditions, or other natural causes lead to travel delays or prevent customer from participating in scheduled activities. If your trip needs to be rerouted due to weather-related conditions, we will do so.
Tracks & Trails strongly recommends that you purchase travel insurance providing coverage for loss of Deposit, cancellation fees, medical expenses, lost baggage and other potential travel-related losses under certain circumstances. The scope of coverage is subject to the terms and conditions of the insurance policy. We offer a link on www.tracks-trails.com to the Travel Guard website (See LINKS at the bottom of our home page). If you choose to purchase this insurance, please do so no later than the time of your final payment.
The Adventure Kit includes your Trip Itinerary, Travel Tips, Route Maps and Mini Guides. Ground shipment of your Adventure Kit to your home or office in the US or Canada is included in your package cost. Provided that the trip is paid in full, you should receive your Kit at least 30 days prior to departure. For our customers outside of the USA, we normally email copies of the most important documents to you ahead of time, then ship the Adventure Kit to your first night’s hotel for your pickup upon arrival in the US. Adventure Kits can also be shipped internationally at the expense of the customer plus a $25 handling fee. Keep in mind that we are not responsible for Customs or shipping delays and may not be able to provide a replacement.
Tracks & Trails will not issue refunds for any unused portion of the trip, including early vehicle returns or missed activities.
Little Park LLC, dba Tracks & Trails, its owners, agents, employees, and affiliated companies hereby give notice that they act only as agents for hotels, vehicle rentals, carriers, land operators, and suppliers of travel services, and assume no responsibility or liability whatsoever in connection with the operation, safety, condition, or service of any motor vehicle, aircraft, boat, other conveyance, inn, lodge, hotel, or campground which may be used wholly or in part by these independent contractors, for services to Tracks & Trails customers. Tracks & Trails, its employees, operators, and agents will not be responsible for any act, error, or omission, nor for any injury, loss, accident, delay, inconvenience, irregularity, or damage which may be occasioned by any cause whatsoever, including acts of nature, hazards associated with traveling in remote areas, civil disturbance, government restrictions, negligent behavior or failure of any means of conveyance to adhere to published itinerary.
Tracks & Trails reserves the right to accept or reject any person as a customer at any time.
The statements herein and the contract between travel customers and Tracks & Trails are made and entered into in Mesa County, CO. Any controversy or claim which cannot be settled amicably must be litigated either in a state court in and for Mesa County, CO, or in the U.S. District Court for the District of CO and shall be governed by the laws of Colorado. Tracks & Trails and each travel customer expressly waives the right to a jury trial and agrees that legal proceedings, if any, must be filed within one year following the date of trip completion. Each customer understands that Tracks & Trails accepts the customer’s booking in reliance upon the customer’s acceptance of these Trip Conditions.
Please bring any complaints to our immediate attention. Do not wait until the trip is over! We take customer complaints very seriously and will try to correct any problems immediately.
